As part of our commitment to flexibility and transparency, Knowledge Circle has established clear cancellation policies for both individual and group training sessions. These policies are essential to ensure fairness, operational stability, and the consistent delivery of high-quality language training for all learners.

Please note that all cancellation notice periods are calculated in business days (Monday to Friday), excluding weekends and statutory holidays.

Individual Training Cancellation Policy

Required Notice Period (Business Days)

For individual training sessions, the standard cancellation notice is:

  • 48 business hours, or

  • 24 business hours, in specific cases, depending on the agreement in place with your department.

⚠️ Important clarification
Cancellations must be communicated during business days.
For example:

  • A cancellation sent on Saturday or Sunday does not count as notice for a Monday morning class.

  • In such cases, the cancellation would be considered late, as weekends are not business days.

This policy allows us to:

  • Manage resources responsibly as a private training provider;

  • Ensure instructors are compensated fairly for their reserved time;

  • Maintain stable scheduling and continuity for learners.

By respecting the required notice period in business days, you help support a sustainable and respectful learning environment for both instructors and participants.


Group Training Cancellation Policy

Cancellation Before the Start of a Group Session

Group training sessions involve multiple participants and more complex coordination. As such:

  • The standard cancellation notice for group training is 10 business days prior to the start date of the session.

This advance notice is necessary to:

  • Adjust group composition if required;

  • Coordinate instructors and schedules effectively;

  • Avoid disruptions for other participants.

Cancellation During an Ongoing Group Session

Once a group session has started:

  • There is no formal cancellation policy for individual absences from specific classes.

  • We strongly encourage learners to inform the instructor in advance when possible, to maintain group cohesion and instructional flow.


Your Role in Supporting a Fair and Effective Learning Environment

Proactive Communication

If you need to cancel or anticipate an absence:

  • Please notify us as early as possible, within the applicable business-day notice period.

  • Early communication allows us to make appropriate adjustments and minimizes disruption.

📌 FAQ – Business Days & Cancellation Notice

What counts as a business day?
A business day is Monday to Friday, excluding statutory holidays.

Do weekends count toward the cancellation notice period?
No. Saturday and Sunday are not business days and are not counted toward cancellation notice requirements.

What about statutory holidays?
Statutory holidays are not considered business days. If a holiday falls within your notice period, you must notify us earlier.

When is my cancellation considered “received”?
Cancellations sent on a weekend or statutory holiday are considered received on the next business day.

Why is this important?
Because cancellation policies are based on business-day notice, not calendar hours. This ensures fairness for instructors and consistent scheduling for all learners.


⚠️ Important Notice – Weekend & Monday Classes

Weekend cancellations do NOT count as notice for Monday classes.

If you send a cancellation on Saturday or Sunday for a class scheduled on Monday morning, the cancellation is considered received on Monday and therefore does not meet the required business-day notice.

To avoid a late cancellation, please notify us by Friday (during business hours), in accordance with your applicable notice period.
