Need to take a break from your second-language training? Whether it’s for vacation, medical leave, workload, or another reason — here’s how to pause and restart your training properly, while respecting your department’s contract and training plan.


šŸ“œ Important: Training Is Governed by a Departmental Contract

Your training is part of a contractual agreement between your federal department and Knowledge Circle. This agreement includes:

  • A defined start and end date

  • A total number of training hours allocated

  • Specific conditions on attendance, pauses, and cancellation policies

āš ļø That’s why it’s essential to first speak with your manager or departmental training coordinator before contacting us to pause your training. Your internal team can confirm if the break aligns with your department’s guidelines.

āøļø How to Pause Your Training

Once your manager or training contact has approved the pause:

Please include:

  • Your full name and department

  • The start date of your absence

  • The expected return date

  • Confirmation that your department has been informed

Please do not notify your instructor directly. The coordination team will handle updates and internal communication.


šŸ“Œ Key Points to Remember

  • Provide at least 5 business days’ notice when possible

  • Instructor and schedule may change if your return occurs during a busy period

  • If your pause lasts more than 6 weeks, we may ask you to complete a short placement activity to confirm your level and adapt the learning plan

  • Departments may set specific rules around pausing — your internal contact can confirm this


ā–¶ļø How to Resume Your Training

When you're ready to return:

  • Contact us at least one week in advance

  • We’ll confirm availability and contract status

  • Your instructor and schedule will be assigned accordingly

Please note: Your previous time slot or instructor may no longer be available, but we will do our best to accommodate your needs.


šŸ’” Plan Ahead for a Smooth Transition

If you anticipate any upcoming time off, such as:

  • Parental leave

  • Extended travel

  • Health leave

  • Intensive work periods

Please notify both your department and Knowledge Circle in advance. Early communication helps minimize disruptions and protect your training time.
